Practice Manager
About the Role
At Equil Advisory, we believe in delivering high-quality advisory and accounting services in a collaborative and people-focused environment. As our Practice Manager, you’ll be central to the success of our day-to-day operations. This multifaceted role involves office and systems management, client workflow coordination, team engagement, and HR responsibilities. You’ll work closely with our leadership team to ensure a smooth, efficient, and uplifting work environment for both staff and clients.
Responsibilities of the role will include, but are not limited to:
Team Culture & Support
- Foster a positive and collaborative team culture, supporting engagement and morale.
- Organise team events, staff lunches, and social activities to enhance workplace connection.
- Manage the entertainment budget with accountability and foresight.
Practice Management
- Maintain and regularly update Xero Practice Manager (XPM) and FYI Document Management systems to ensure data integrity and operational efficiency.
- Conduct regular client data reviews across all internal platforms for accuracy and relevance.
- Manage data exports and reporting from the ATO Tax Agent Portal.
- Oversee Now Infinity, including issuing annual statements, chasing ASIC invoice payments, and managing lodgements.
- Coordinate and maintain the firm’s lodgement program to ensure compliance deadlines are met.
- Liaise with the ATO, ASIC, and external advisors on behalf of both the team and clients.
- Manage aged receivables and respond to related client enquiries as needed.
- Draft and manage various client correspondence, including Accountants Letters.
- Ensure internal systems and processes are followed and contribute to ongoing improvements.
- Oversee client onboarding and offboarding, including preparation of engagement letters and ethical clearance documentation.
- Monitor and manage administrative email inboxes, ensuring timely, professional responses.
- Liaise with external marketing provider to ensure marketing strategies are being executed in accordance with direction from the Directors.
Meetings & Reporting
- Maintain and coordinate meeting room schedules using TimeTree, preventing clashes and optimising usage.
- Assist Directors with diary management and other administrative tasks as required.
- Attend key internal meetings to take minutes, track action items, and support follow-ups.
- Coordinate hospitality for client and management meetings, including providing refreshments.
HR & Recruitment
- Lead recruitment activities, including advertising, screening, and conducting initial interviews.
- Manage staff onboarding and offboarding, ensuring a smooth and professional experience.
- Coordinate annual performance reviews and maintain accurate HR records in Employment Hero.
- Ensure HR policies and documentation are current, compliant, and aligned with company standards.
Office Management
- Oversee daily operations of the office, ensuring communal spaces are clean, organised, and well-maintained.
- Manage office supplies, mail handling, and overall workspace presentation.

You’re detail-oriented, tech-savvy, and comfortable juggling multiple responsibilities, all while maintaining a calm and professional demeanour.
You’ll bring:
- Proven experience in a similar Practice Manager, Office Manager, or Operations role within a professional services or accounting environment.
- Strong working knowledge of Xero Practice Manager, FYI Docs, Now Infinity, and other accounting practice tools (preferred).
- Exceptional organisational and multitasking skills with the ability to prioritise effectively.
- High level of professionalism, discretion, and communication—both written and verbal.
- Confidence in liaising with clients, external parties, and team members at all levels.
- A people-first mindset with the ability to build rapport, foster engagement, and drive team culture.
- Solid understanding of compliance deadlines, lodgement programs, and HR processes.
- A proactive attitude, with a continuous improvement focus and willingness to adapt.

Senior Business Services Accountant
About the Role
The Senior Business Services Accountant will provide high level tax and accounting support to the clients and the Equil team internally. Needs to be willing to delegate and mentor Junior staff.
Responsibilities of the role will include, but are not limited to:
Accounting and Tax
- Preparation of Financial Statements and Tax Returns for Individuals, Companies, and Trusts and Consolidated Financials
- Preparation of various IAS, BAS, Payroll Tax, and FBT returns
- Preparation and lodgement of R&D and EMDG grants
- Assist with client business advisory including Tax Planning, GST, FBT, Div 7A and CGT matters
- Client group restructures – creating new companies, separation of assets and etc
- Willingness to learn or carry out research on topics when required
- Roll up sleeves and dig deep into client work when required.
Outsourced CFO
- Company account clean ups – new clients and existing clients (management of AR/AP/Payroll and overall general ledger)
- Process implementation – AR/AP/payroll, payment portals, improve transaction methods etc, planning in relation to cashflow.
- Continually reviewing existing processes to see what can be improved/adjusted
- Weekly or fortnightly Cashflows Forecasts and financial modelling – for new or existing clients from scratch
- Monthly Management Reports and Quarterly Consolidated Financials
- Regular phone calls with clients regarding various matters e.g. financial and or process oriented.
General
- Being available for the general team to assist where necessary
- Assist with maintenance and improvement of internal processes with individual team members and management
- Autonomously manage jobs and client relationships, with assistance from an Assistant Manager and or a Director.

Who We’re Looking For
- A strong technical knowledge of accounting and taxation
- Proficient in Xero, MYOB and Advanced knowledge of Microsoft Office suite of products
- Comfortable with engaging with clients and colleagues
- Near completion or completed a recognised post-graduate accounting qualification (preferably CA)
- Exceptional written and oral communication skills.
Intermediate Business Services Accountant
About the Role
As an Intermediate Business Services Accountant, you’ll be a key player in our growing team. You’ll have the chance to work closely with the firm’s partner and manage client relationships from the get-go. Your responsibilities will include:
- Completing year-end Financial Accounts and Income Tax Returns for various entities.
- Preparing insightful business analytics (think financial ratios, benchmarking, tax planning, and more).
- Collaborating with business owners through our Outsourced CFO service line.
- Preparing management reports, cash flows, and budgets.
- Handling all other statutory compliance requirements.
- Liaising with government bodies to ensure everything is shipshape.
